Intake Specialist

Part time and Full Time

The Primary responsibility of an Intake Specialist is to be the Front Desk primary point of contact between Guam Pet Hospital and New Clients, and existing clients with a cheerful and compassionate demeanor either by phone and/or in person.

Usually takes about 30 to 60 days to become proficient – we have state of the art phone headsets-offer the best phone systems that allow our intake specialists to communicate with pet owners hands free and with the most advanced technology available to Guam.

Duties Include

  • Assure Patient Ownership that they are most welcome when entering Guam Pet Hospital – through a Welcoming Smile and Voice Recognition
  • Answering Phone and E-mail inquires by Pet Owners
  • Collecting all pertinent information about Pet and Owner in order to open a new account and/or update an existing account.
  • Booking Appointments electronically for New and Existing Pet Owners Pets
  • Collecting the primary reason / condition for the family bringing the Patient to be seen
  • Collecting a Specific history of the condition, how long has this been going on? How often? Collecting any information prior to the appointment that will best identify for the medical staff and our doctors to best serve the patient.
  • Checking in Patients Owners as they present their Pets for their appointments
  • Send Appointment reminders by E-Mail, SMS and by Phone
  • Accepting Owner requests and processing requests for Veterinary Diets, and Medication Refills and relaying to medical staff when appropriate
  • Triaging Patient Needs over the phone in order to determine if a request should be considered a same day Emergency or a Well Care visit or a sick visit that can be seen at a later date.
  • Process Clients Payments for Deposits and Services at the time Services are Rendered
  • Call Pet Owners for Payment Reminders, if not paid as agreed.
  • Educating Pet Ownership about the importance of Vaccines and Prevention’s in Guam.
  • Updating Patient Records with Medical records from other hospitals and/or the pets ownership
  • Educating Military Families as needed for entry into Guam and to exit Guam
  • Educating Pet Ownership of Forms of Payment accepted by Guam Pet Hospital such as deferred interest payment option using www.CareCredit.com

Full Time Benefits

At the onset of New Hire ( Full Time) we provide:

  • Usually December of each year we assess the financial success of Guam Pet Hospital – And reward our Employees according to their contribution and time worked.
  • For an Associate that has worked a full year, is a full time employee, will usually see a bonus equal to their two week paycheck (less standard payroll deductions).
